The Quarto Group’s New York team is seeking a dedicated and exceptionally well-organized Editorial Project Manager who possesses a strong background in illustrated non-fiction publishing, extreme attention to detail, cross-departmental savvy, and a passion for group development and mentorship. This position is based in New York City with The Quarto Group operating under a hybrid work model (3 days minimum on site). While candidates are preferred to be east coast based, there may be an option for this role to be fully remote for the right candidate. 

Reporting to and working in tandem with the Group Managing Editor, the Editorial Project Manager fills a pivotal role at the heart of publishing operations, sitting at the center of editorial, design, and production, and working with the staff in each department to ensure the accurate and timely execution of all book projects for the New York team.

Position Specifics

Responsibilities of the Deputy Managing Editor include:

  • Ensure timely archiving and processing of all budgets, proposals, and book records in Title Management system and servers. 
  • Create, track, and manage the group’s metadata needs while liaising with metadata and copy managers, the marketing group, and each book’s editor.
  • Act as “editor on retainer” across all imprints, stepping in to develop manuscripts and work one-on-one with authors as needed (vacation and leave cover, title overflow, crash projects, etc.)
  • Thoughtful contracting and schedule management of external freelancers (copy editors, proofreaders, sensitivity readers, indexers, technical editors, etc.) 
  • Management and archiving of book contracts and financial paperwork (work for hire, authors, designers, illustrators, etc.) 
  • Management of the visual assets in Title Management system, as well as sales material and book archives
  • Requesting and overseeing Library of Congress data, mailings, and relationship
  • Providing support for editors during the title development (photo research/creating art logs, slugging art into manuscripts, book maps, creating barcodes, collating proofreader marks, etc.)
  • Providing support for the publisher/sales team (creating sales presentations, sample mailing, printing spreads, prepping book fairs, drafting contracts/proposals, etc.)
  • Assist in the timely route and management of book passes for review among internal staff and external licenses and freelancers where applicable.
  • Assist in updating the group production schedule and management of editorial interns. 

Minimum Skills, Knowledge, and Abilities Required

  • Knowledge of publishing best practices across the three key areas of editorial, design, and production
  • Strong editing ability, i.e., developmental and line editing, and thorough knowledge of Chicago Manual of Style guidelines
  • Ability to digest and organize large amounts of data as it relates to key timelines and scheduling needs
  • Aptitude for teaching and mentoring interns or staff with an inherent emotional intelligence.
  • Ability to work efficiently on multiple projects at once and effectively prioritize within tight deadlines.
  • Fluidity to seamlessly work within multiple imprints which cover diverse topics
  • Proficient knowledge of both MAC and PC operating systems and the programs used within, i.e., Adobe, Excel, Outlook, etc.
  • Ability to communicate quickly and clearly with all team members with an emphasis on understanding digital communication tools, i.e., Teams, Zoom, etc. 

Education and Experience Required

  • A minimum of 4 years editorial experience in publishing in a support or editorial role, preferably with an illustrated non-fiction publisher
  • Bachelor’s degree in a related field
